Scheduling Activities in the TracOS™ Standard Module

Scheduling activities in the TracOS™ Standard module is essential to ensure smooth operations and efficient maintenance management. This guide outlines the steps and options available to perform this scheduling process practically and efficiently.


Accessing and Scheduling Activities

Depending on the view type, there are two main ways to schedule activities in the Standard module:

  • Panel View: Provides a detailed view of the activity, ideal for precise scheduling during the planning process;

  • Table View: Offers a macro view, allowing for the quicker scheduling of multiple pre-planned activities.

Scheduling Activities in Panel View

  1. In the "Work Orders" tab, go to the filter section and select "Planning Status";

  2. Choose the "Planned" option to display Work Orders ready for scheduling;

  3. Select the desired Work Order, access the Activities tab, and choose the Activity you wish to schedule;

  4. Click on "Schedule".

When you click "Schedule", an editing window will open. Fill in the following fields:

  • Date: Specify the day the activity will be performed;

  • Time: Set the exact time and period for execution;

  • Executors: Select the individuals responsible for executing the activity. The available executors are based on the team planned for execution.

Once done, save the Work Order, and the Activity is successfully scheduled!

Enabling Reminders

Enable automatic reminders to notify executors before the scheduled start date. This ensures everyone is prepared and helps avoid delays or oversights.

Important Note: If the scheduled date exceeds the planned due date of the Work Order, a warning will notify the scheduler.

Scheduling Activities in Table View

  1. In the "Work Orders" tab, switch to Table View, apply filters, and select "Planning Status";

  2. Choose the "Planned" option to display Work Orders ready for scheduling;

  3. Access the Activities tab and select the Activity to be scheduled;

  4. Scroll the table to the right until the "Scheduling Date" column appears;

  5. Define the day and time for the activity;

  6. Assign the responsible individuals for execution.

And that's it! The activity is scheduled, and the data is automatically updated.

Viewing Activities in the Calendar

With multiple scheduled activities, having a consolidated view is essential to organize tasks across various maintenance disciplines. The Calendar View is the ideal tool to monitor activity distribution over time.

To access the calendar:

  1. In the "Standard" module, navigate to the "Work Orders" tab;

  2. Click on the "Calendar View" option in the top menu;

  3. Access the Activities tab;

  4. Use the period controls to select the range of days you want to view on the calendar.

Displaying Activities

All scheduled activities within the selected period will appear on the calendar as cards, each summarizing the key information about the activity.

Interacting with Cards

  • Click on an activity card to expand and view its main details.

  • At the bottom of the expanded window, you will find these options:

    • View Details: Access all activity information.

    • Edit Activity: Make adjustments, such as rescheduling or changing the responsible individuals.

Multiple Activities in the Same Period

If several activities are scheduled for a single day, they will be displayed in a summarized format.

  • Click the summary to expand and view the main details of each activity.

Review and Adjustments via Calendar

The calendar is also an excellent tool for reviewing and adjusting activity scheduling:

  • Data Conflicts: Quickly identify overlaps or discrepancies in scheduling.

  • Rescheduling: Edit directly on the calendar, adjusting dates and times as needed.
