Create a new Plan

To create a new Plan, go to the Plans tab and click on "Add" in the upper right corner.

On the registration screen, fill in the following information:

  • Plan Name

  • Asset or Location where the Plan will be executed

  • Description (optional)

  • Assignees

  • Plan Category

  • Priority

After that, you will configure the Cycles, which determine the frequency and structure of the plan’s execution.


Cycles

Cycles define when and how Work Orders (WOs) and Activities will be generated within the plan.

Each Cycle contains:

  • Work Orders (WOs) → Automatically or manually created according to the defined rules.

  • Activities → A set of tasks within the WO that need to be carried out.

  • Recurrence → Defines when a new execution will be triggered, which can be based on time (calendar) and/or accumulative metrics.

  • Cycle → Represents the link between WOs/Activities and the Recurrence.

Configure the plan with a single WO and add all Activities to it. This way, all tasks are performed together, optimizing the flow.


Work Orders in the Cycles

To add a WO to a Cycle:

  1. Go to the Cycles or Work Orders tab;

  2. Click on Add → Work Order;

3. Fill in the necessary information and click "Save";

Activities in the Cycles

To add an Activity to the Cycle:

  1. Go to the Cycles tab;

  2. Click on Add → Activity.

Fill in the following fields:

  • The WO to which the Activity is linked

  • Activity Name

  • Activity Type

  • Estimated hours worked

  • Estimated number of performers

  • Asset or Location of the Activity

  • Linked Procedure

After filling in, click on "Save."

If you need to replicate the same Activity for other Assets, enable the option at the bottom of the Activity.


Recurrence of a Cycle

Recurrence defines how often a Cycle will be triggered within the plan. A cycle may have two conditionals, provided one is metric-based and the other is calendar-based.

Important note: Recurrences are always calculated based on the lowest frequency defined. Therefore, all other recurrences must be exact multiples of this lowest value.

The recurrence considered the base always appears with the number 1 next to its name, indicating that it is the lowest among all those configured in the plan.

Example: if the lowest recurrence is set to 30 days, the others can be 60, 90, or 120 days, and so on.

Likewise, for metric-based recurrences, if the lowest is 100 operating hours, the others must be 200, 300, 400 hours.

To configure:

  1. Click on the + or on "Add" within the Cycles table or go directly to the Recurrence tab;

  2. Name the Cycle;

  3. Choose a conditional to activate it:

    • Metric → The cycle will be triggered when the metric reaches a specific value (example: every 500 hours of operation).

    • Calendar → The cycle will be triggered on a fixed time interval (example: every 30 days).

  4. If the conditional is metric, just define the recurrence value within the metric’s unit of measure (example: if the metric is in hours, define the number of hours for the repetition);

  5. If the conditional is calendar, you must define the interval in days, weeks, months, or years.

Add another conditional in a Recurrence

To add another conditional:

  1. Click on "+ Add conditional";

  2. Select a different conditional from the first (if the first is metric, choose calendar, and vice versa);

  3. Define the repetition parameters as explained above;

    Click "Save."

Important notes:

  • If the first recurrence is calendar-based, all subsequent ones must also be calendar-based. The same applies to metrics.

  • If a cycle has metric + calendar, all subsequent recurrences must also have both conditionals.


Linking WOs and Activities to a Recurrence

When configuring the Cycles, you need to link the WOs and Activities to the Cycle. This determines which items will be triggered in each execution.

To link them:

  1. Go to the Cycles;

  2. Select the WOs and Activities that should be performed in each Cycle.


Configuring the start and end of a Plan

Start date

Set the start date and, if necessary, add a time by clicking on Add time.

If you wish, enable the option to generate a custom WO at the start of the Plan.

Important note: It is not possible to set a start date in the past.


End date

Set an end date or select "Never" if the plan is continuous.


Next Execution

After registration, the Next Execution section allows you to see when the Plan will run again.

By clicking View all, you will see:

  • Scheduled date for the next execution

  • Cycle to which the execution belongs

  • Linked Work Orders

Important note:

The first execution of a plan is generated based on the start date plus the defined recurrence frequency. For example, if the plan is monthly and starts on January 1st, the first work order will be created for February 1st.

If you want the first execution to happen on the actual start date, you can enable this option by checking the “Generate first Work Order on start date” checkbox, located right below the start date field. When selected, the first work order will be generated exactly on the defined start date.

In summary:

  • Without the checkbox selected: the first work order is created after the recurrence interval.

  • With the checkbox selected: the first work order is created on the start date.


Change the Next Execution

If you need to modify the next execution date:

  1. Go to the plan;

  2. Click Reschedule;

  3. Choose a new execution date.

Important note: This change affects all future executions. Check before confirming.


Generate the Next Execution

If you need to manually create the next execution:

  1. Go to the plan;

  2. Click on "Generate";

  3. Review the details and confirm the generation.


Last Execution

In the Last Execution section, you can check more information about when the plan was last executed. This section is not editable, only informative, and you will see it on the plan’s view screen.

By clicking View all, you can see:

  • Execution date

  • Execution status

  • Cycle to which it belongs

  • Linked Work Orders
