Plans v2 - Triggers and Tolerances

This template configures advanced trigger conditions, tolerance ranges, and reminder settings for maintenance plans that already exist. It gives you fine control over when work orders are created and how much flexibility the execution window has for early or late completion.

What Is It For

Use this template to adjust the behavior of existing plans without changing their base schedule. You can:

  • Define how many days a work order may be completed early (anticipated tolerance) or late (overdue tolerance)

  • Set calendar-based triggers that create work orders a certain amount of time before the scheduled date

  • Set metric-based triggers that create work orders when a metric value approaches a threshold

  • Configure reminders so the assigned team is notified before the due date

  • Choose the exact time of day when work orders are generated

This template only updates plans; it cannot create new plans.


Import and Export

This template supports both import and export.

  • Export downloads the current trigger and tolerance settings for all plans that have them configured.

  • Import updates the trigger and tolerance settings on existing plans. Every row must reference an existing plan by its plan number.

  • Export from import is available after a successful import and downloads the imported data in spreadsheet format.

Columns in Detail

Plan Number The number of the plan you want to configure. The plan must already exist and must not be finished. This is the only required column.

Tolerance Range Overdue Number of days the work order may remain overdue before being flagged. For example, a value of 3 means the team has up to 3 days after the scheduled date to complete the work order without escalation.

Shift Factor Overdue A multiplier applied to the overdue tolerance range. Use it to extend the overdue window proportionally. A value of 1 keeps the range as is.

Tolerance Range Anticipated Number of days before the scheduled date during which the work order may be completed early. For example, 2 means the team can execute up to 2 days ahead of schedule.

Shift Factor Anticipated A multiplier applied to the anticipated tolerance range. A value of 1 keeps the range as is.

Trigger Calendar Execution Before Value How far in advance of the scheduled execution date the system should create the work order. Works together with the time unit column.

Trigger Calendar Execution Before Time Unit The unit of time for the calendar trigger. Allowed values: hours, days, weeks, months, years. Must be compatible with the plan's calendar frequency.

Calendar Due Date Interval Days Number of days after the work order is created until its due date. For example, 7 means the work order will be due 7 days after creation.

Generate At The time of day when the system generates the work order. Use 24-hour format, for example 08:00 or 14:30. Choose a time that aligns with the start of your work shifts.

Reminder Trigger Type The unit of time for the reminder. Allowed values: hours, days.

Reminder Trigger Value How many units (hours or days, depending on the type) before the due date the system sends a reminder to the assigned team.

Trigger Metric Execution Before In Unit Value For metric-based plans, the metric reading at which the system should create the work order. For example, if the plan triggers every 500 operating hours and you set this to 450, the work order will be created when the metric reaches 450. Decimal values are allowed.

Trigger Metric Execution Before Time Unit The metric deadline value for execution timing. This value must be greater than or equal to the trigger threshold. Decimal values are allowed.

Metric Due Date Interval Days Number of days after the work order is created until its due date, specifically for metric-based triggers.


Custom Fields

This template does not support custom fields.


Tips

  1. Start with basic tolerance settings before adding triggers and reminders.

  2. Make sure the plan already has a base configuration (calendar or metric schedule) before importing triggers for it.

  3. Calendar trigger values cannot exceed the plan's base interval. For example, if the plan runs every 7 days, the trigger cannot be set to 10 days before execution.

  4. Metric trigger thresholds cannot exceed the plan's base metric interval.

  5. The metric trigger threshold must be less than or equal to the metric deadline value.

  6. Choose a generation time that matches your team's shift start for best results.

  7. Test configurations on non-critical plans first before applying them broadly.

  8. Leave optional columns empty if you do not need to change those settings.

Frequently Asked Questions

Can I create a new plan with this template? No. This template only configures triggers and tolerances on plans that already exist. Create plans first using the Plans V2 template.

What happens if I leave a column empty? The setting remains unchanged on the plan. Only fill the columns you want to modify.

What time format should I use for Generate At? Use 24-hour format with hours and minutes separated by a colon, for example 08:00 or 14:30. Values must be between 00:00 and 24:00.

Can I set both calendar and metric triggers on the same plan? Only if the plan has both calendar and metric scheduling configured. Calendar triggers are ignored if the plan has no calendar schedule, and the same applies for metric triggers.

Why is my trigger value being rejected? The trigger value cannot exceed the plan's base interval. For example, you cannot set a calendar trigger of 10 days on a plan that runs every 7 days. Similarly, a metric trigger threshold cannot exceed the plan's metric interval.

What do the shift factors do? They multiply the tolerance range. A shift factor of 2 with a tolerance range of 3 days effectively gives a 6-day window. Use 1 to keep the range unchanged.
