Scheduling Work Orders on the TRACTIAN platform, available in the tracOS Enterprise module, is an essential tool for optimizing and ensuring the fluidity of maintenance operations, allowing for efficient management of activities.
In the Work Orders tab, go to the filters section and select "Planning Status".
Choose the "Planned" option to view all the Work Orders that are ready for scheduling.
Find the desired Work Order and access the Activities field or the activities tab within the Work Order.
Click "Schedule" on the activity you want to schedule.
Scheduling activities
By clicking on "Schedule", you will have access to the complete schedule of teams and technicians defined previously.
Two tabs will be available: "Schedule" and "Assign".

View the selected activity and a calendar with the technicians and their respective schedules.
A table below the calendar shows the availability of hours for each technician.
Click on a team to see the list of technicians in detail and check their specific availability.
If there are scheduling conflicts, the times will appear hatched or overlapping in the calendar. To resolve this, simply adjust the times or select technicians.
Set Time and Duration
Select an available technician and define the best day, time and duration for the activity.
Click on "Assign", enter the date, time and duration, and save.
Important note: colors indicate the availability of technicians: green (free hours), yellow (partially occupied hours), red (fully occupied hours).
Example: "0/8" means that the technician has 8 free hours; "5/8" indicates that 5 of the 8 available hours are already occupied.

Use the assignment tab to see the busy and available times of the performers in more detail.
Set the date, time and duration of the activity, check availability and complete the assignment.
More on adding and managing Technicians
Technicians are the users who will carry out the activity on the scheduled date. If a team has been associated with the activity, only members of that team can be assigned as technicians, and they will all have the same scheduled date for execution.
If no team has been associated, any user can be assigned as a technician.
Click on "Enable Reminder" to set up reminder notifications for all assigned users before the scheduling date.
Scheduling Activities in Table View
In the activities section, select the activity you want to schedule.
In the scheduling date column, set the date, time, duration, team and performer.
Scheduling Activities in Calendar View
Choose the calendar display mode (by day, week or month) and view the Work Orders and scheduled activities.
In the mini calendar, view the status of activities: Pending Schedules, Pending Assignments, Overdue Schedules.
Click on a status to be redirected to the corresponding table.
To view detailed information on a Work Order, simply click on the one you want to know more about.
Then select "View More Details" to open and manage the work order.
Calendar View
Navigation
Use the mini-calendar in the sidebar for quick navigation.
In the calendar header, use the "Today" button to return to the current day.
Use the arrows to navigate between days, weeks or months depending on the view selected.
Display Settings
Customize the calendar display as required.
Work Orders: Configure by Due Date, Planned Start Date and Plan display.
Activities: Configure the fields to be displayed on the cards.
Dynamic Sidebar
Select between Work Orders and Activities to view relevant information.
See the number of overdue Work Orders and view details by clicking on them.
View Pending Schedules, Pending Assignments and Overdue Schedules for activities.
Activity Progress Tracking
Progress bar
Track the progress of each activity in real time via the progress bar.
Status change
With the activity properly planned and scheduled, the planning status will automatically change to "Scheduled".
