The Reservations feature allows you to reserve stock parts for Work Orders (WO) or Single Reservations, ensuring efficient material control.
All reservations can be managed on a single page via desktop. This page offers two viewing options:
By Reservations: Displays created reservations, which may contain one or more parts.
By Parts: Lists each reserved part individually, making it easier to track inventory.
You can also open reservations and perform bulk part withdrawals.
Viewing Reservations
On the Reservations page, there are two main tabs:
Reservations tab
This tab displays all registered reservations in a table format with the following information:
ID: Unique identification number of the reservation;
Part: List of reserved parts;
Part Status:
Reserved: Part is ready for withdrawal;
Withdrawn: Part has already been withdrawn;
Return Pending: Non-consumable part was withdrawn but not yet returned;
Return Confirmed: Non-consumable part was returned to stock;
Work Order: Indicates the WO linked to the reservation (if applicable);
Responsible:
If linked to a WO: same person responsible for the WO;
If Standalone Reservation: creator of the reservation;
Cost Center linked to the reservation;
Created by: User who created the reservation;
Created on: Reservation creation date;
Updated on: Last update date.
Reserved Parts Tab
This tab lists all reserved parts individually, with specific details:
ID: Unique identification number of the reservation;
Part: List of reserved parts;
Part Status:
Reserved: Part is ready for withdrawal;
Withdrawn: Part has already been withdrawn;
Return Pending: Non-consumable part was withdrawn but not yet returned;
Return Confirmed: Non-consumable part was returned to stock;
Work Order: Indicates the WO linked to the reservation (if applicable);

If linked to a WO: same person responsible for the WO;

Parts in Reservations tab
This tab lists all reserved items individually, with specific details:
Part Code: Unique identifier for the part in the system (internal or supplier reference);
Part Name: Description of the reserved part (e.g., "M10 Bolt" or "5L Lubricant Oil");
Part Status: Indicates the current status within the reservation (Reserved, Withdrawn, Return Pending, or Return Confirmed);
Reserved Quantity: Number of units reserved. This must be available at the time of reservation;
Warehouse: Indicates the physical location where the part is stored;
Entry Batch (if applicable): For consumable parts, specifies the lot used to ensure traceability;
Work Order (if applicable): Associated WO number;
Cost Center: Financial unit responsible for the reservation;
Withdrawn by: Name of the user who withdrew the part;
Withdrawn on: Date and time of withdrawal;
Return Date (if applicable): Expected return date for non-consumables;
Returned on: Date the part was returned (if applicable);
Unit Price: Cost per unit;
Total Price: Reserved quantity × Unit Price;
Part Category: Classification (e.g., Tools, Lubricants, PPE);
Tracking Code: Additional identifier (e.g., asset tag or barcode);
Responsible Users for the reservation.
Single Reservations
Single Reservations are not linked to a Work Order but only to a Cost Center. This allows reserving materials for general use, without needing to link them with a WO.
Creating a Reservation
To reserve a part, follow these steps:
Access the Reservations page.
In the upper-right corner, click "Reserve Items."
Select at least one item for the reservation.
Fill in the required fields:
Desired quantity;
Warehouse where the item is stored;
Cost Center responsible for the material consumption.
Important note: The selected quantity must be available in the chosen stock location.
Ways to Reserve a Part
Manual Search: Type the part name or code in the search field.
Scan: Click "Scan Part" and use a barcode reader.
Direct Selection: Choose the part from your inventory list.
Filter Selection: Quickly find the part by applying filters.
Withdrawing reserved items
After creating the reservation, withdrawal follows these rules:
Consumable Parts:
It is mandatory to select one or more lots that cover the reserved quantity.
Non-Consumable Parts:
No need to select lots.
You can register who withdrew the part and the expected return date.
Important note: Only non-consumable items can be returned to stock. A return cannot be undone after confirmation.
Editing or cancelling Reservations
Depending on the type of reservation, some edits may be made:
Work Order Reservations
Editable: Status and quantity.
Not Editable: Other fields.
Cancelling a part’s reservation changes its status to "Not Reserved" in the WO.
Single Reservations
Editable: All fields (except warehouse).
You can adjust quantities or add new parts.
If not all reserved materials were used, you can adjust the withdrawal quantity. The excess is automatically returned to stock/batch.
Important note: This action is only allowed if the Work Order has not yet been completed.
In-App Reservations
Users can view part reservations in the app but cannot edit, delete, or cancel them.
Reserved part withdrawal can be performed directly in the app by confirming:
Quantity withdrawn;
Warehouse;
Entry Batch (if applicable).
This feature is available for both consumables and non-consumables.
Withdrawal on the App
Access the Work Order
Open the app and go to the desired WO.
In the Parts section, you will see items by status: Not Reserved, Reserved, and Withdrawn.
Open Reserved Parts
Tap the "Reserved" card to view parts ready for withdrawal.
Confirm Withdrawal
Tap "Confirm Withdrawal" on each part.
Enter the necessary information:
Withdrawn quantity;
Warehouse;
Stock Address (if applicable);
Entry Batch.
Save Withdrawal
Tap "Save" to confirm. The part status will update to “Withdrawn."
Check Work Order Update
Return to the WO to verify that parts moved to the "Withdrawn" section.
