Global Warehouse Filter

The global warehouse filter allows you to restrict user access to specific warehouses on the platform. This is useful, for example, when:

  • Some areas (like Maintenance) should only view their own warehouses;

  • Certain materials require limited access for safety and compliance reasons;

  • A central warehouse supplies others, but local users don’t need to see everything.


How the filter works

The filter defines which warehouses a user can view. This directly affects what they can see, search, reserve, transfer, or edit on the platform.

  • If no warehouse is set in the profile, the user will see all warehouses.

  • If one or more are set, the user will only see those assigned.

Setting Up the Filter

  1. Go to Platform Settings;

  2. Click on “User Management,” then “Permissions”;

  3. Select or create a user and assign permissions;

  4. Under Warehouses, open the “Read” section;

  5. Define which warehouses the user can view.

You can also select which elements within the warehouse the user can access by checking or unchecking the items below.


How the filter affects each area of the platform

  1. Item List

    • The user only sees items stored in permitted warehouses.

    • If the item is in multiple warehouses, only balances from accessible warehouses are shown.

    • Forecasted and current balances are displayed based on permitted warehouses.

  2. Work Orders (WO)

    • Even without access to a warehouse, the user can still see the item in a WO.

    • However, they can’t see details (like balance or location) or perform actions (like reservations or withdrawals).

  3. Transfers

    • The user only sees transfers involving at least one accessible warehouse (origin or destination).

    • They can only edit transfers if both warehouses are permitted.

    • If an item is in multiple warehouses and the user only has access to one, they can’t transfer it.

  4. Reservations

    • The user cannot create reservations for warehouses they can't access.

    • They only see reservations if at least one warehouse involved is allowed.

    • When opening a multi-warehouse reservation, they can only edit items from permitted warehouses.

    • Availability (balance) for inaccessible warehouses is hidden.

  5. Purchase Requests and Orders

    Purchase Requests:

    • Can only be created for accessible warehouses.

    • The user can only edit items from allowed warehouses.

    Purchase Orders:

    • The user sees the order if at least one warehouse is accessible.

    • If the order includes items from multiple warehouses, only the permitted portion is shown, and a partial entry is created if needed.

  6. Part Entries

    • Parts can only be entered into accessible warehouses.

    • If only part of the items are in accessible warehouses, a partial entry is created.

    • The "Register Entry" button only appears if all items are accessible.

    • For manual entries, users can only select from permitted warehouses.

  7. Transactions

    • The user sees a transaction if they have access to at least one of the warehouses involved.

    • In multi-warehouse transactions, only items linked to allowed warehouses are shown.

    • Same logic applies as in transfers.

  8. Asset Tree

    • The user only sees items linked to permitted warehouses.

    • This applies to:

Important Rules

  • Filters & Searches: Users can’t search or filter by warehouses they don’t have access to.

  • Reports & Tables: Only display data from permitted warehouses.

  • Item-to-Warehouse Link: When linking an item to a warehouse, the user only sees permitted warehouses.

  • WO Reservation: Even if the item is visible, it can’t be reserved if it’s stored in an inaccessible warehouse.
