What Is This Spreadsheet For?

This spreadsheet lets you manage inventory items in TRACTIAN. Use it to register new items (like spare parts, consumables, or raw materials), update existing ones, or review your current inventory through an export.

Can I Import, Export, or Both?

Columns in Detail

ID (Fill only for update)

  • This is the unique identifier assigned by TRACTIAN to each inventory item. When you export your data, this column is filled automatically. You only need to enter it when updating an existing item. Leave it blank when adding new items.

Name

  • The name of the inventory item as it will appear throughout TRACTIAN. For example: "Bearing 6205", "Hydraulic Oil 10W", "V-Belt A68". This field is required for every new item.

Description

  • A detailed description of the inventory item. Use this field to add specifications, usage notes, or any other relevant information that helps identify the item.

Material Type

  • The category of material this item belongs to. This is a dropdown field that shows the material types already registered in your TRACTIAN account. The material type must exist in the system before importing. For example: "Spare Part", "Consumable", "Raw Material".

Identifier Code

  • An internal code used by your organization to identify the item. This can be a part number, SKU, or any other internal reference. For example: "SKU-12345", "PN-6205-2RS".

Available Count

  • The current quantity of this item available in stock. Enter a number. For example: 50, 100, 250.

Min Count

  • The minimum quantity threshold. When stock falls below this number, it serves as an alert for replenishment. For example: 10.

Max Count

  • The maximum quantity allowed in stock. This helps prevent overstocking. For example: 500.

Unity Cost

  • The cost per individual unit of the item. Enter the value as a number. For example: 25.50, 100.00.

Measurement Unit

  • The unit used to measure or count the item. Select one of the available options from the dropdown: units, kilograms, meters, liters, tons, services, inches, pairs, milliliters, square meters, cubic meters, grams, hundreds, pieces, gallons, feet.

Waiting Time (days)

  • The expected number of days it takes to replenish this item after placing an order. Enter a whole number. For example: 7, 14, 30.

Code NCM/HS

  • The NCM (Nomenclatura Comum do Mercosul) or HS (Harmonized System) code for the item. This is used for classification and trade purposes. For example: "8482.10.10".

Tags

  • Labels that help you organize and filter inventory items. You can assign multiple tags separated by commas. For example: "critical, motor, production-line-1".

Related Assets

  • The assets in TRACTIAN that use or are related to this inventory item. Enter the asset names separated by commas. The assets must already exist in the system. For example: "Compressor 01, Pump 03".

Location

  • The physical storage location where this item is kept. The location must already exist in the system. For example: "Warehouse A", "Shelf B-12".

Assigned Names

  • The people or teams responsible for managing this inventory item. Enter user or team names separated by commas. They must already exist in the system. For example: "John Smith, Maintenance Team".

Custom Fields

This spreadsheet does not include custom fields.

Tips for a Successful Import

  • The Name, Material Type, and Measurement Unit columns are required for every new item.

  • When updating an existing item, fill in the ID column so the system knows which item to modify.

  • All Material Types referenced in the spreadsheet must already be registered in TRACTIAN before importing.

  • All Related Assets, Locations, and Assigned Names must already exist in the system. If any of them is not found, the import will fail for that row.

  • For quantity and cost fields (Available Count, Min Count, Max Count, Unity Cost), enter only numbers without currency symbols or text.

  • When entering multiple values in Tags, Related Assets, or Assigned Names, separate them with commas.

  • If you leave an optional column blank, no value will be set for that field on the new item (or the existing value will remain unchanged during updates).

Frequently Asked Questions

What happens if I leave the ID column blank?

A new inventory item will be created. The ID column is only needed when you want to update an existing item. When exporting, the ID is filled automatically for every item.

What if a Material Type I enter does not exist in TRACTIAN?

The import will fail for that row. You must register the material type in TRACTIAN before importing. Check the available material types by navigating to the inventory settings in your account.

Can I import items with Related Assets that do not exist in the system?

No. All asset names must match existing assets in TRACTIAN. If an asset is not found, the import will fail for that row. Make sure the asset names are spelled exactly as they appear in the system.

What format should I use for the Unity Cost?

Enter only the numeric value without currency symbols. For example, use "25.50" instead of "$25.50" or "R$25,50". Use a period as the decimal separator.

Can I assign multiple people or teams to the same item?

Yes. In the Assigned Names column, enter multiple names separated by commas. Each name must correspond to an existing user or team in TRACTIAN.

What happens if my import fails partway through?

If any item fails to be created, the system will automatically roll back all changes from that import. This means either all items are created successfully, or none are — no partial imports will remain in the system.
