What Is This Spreadsheet For?

This spreadsheet lets you manage maintenance procedures in TRACTIAN. Use it to register new procedures, update existing ones, or review your current procedures through an export. Each procedure can be associated with work order categories, assets, and locations to organize your maintenance workflows.

Columns in Detail

ID (Fill only for update)

  • This is the unique identifier assigned by TRACTIAN to each procedure. When you export your data, this column is filled automatically. You only need to enter it when updating an existing procedure. Leave it blank when adding new procedures.

Procedure Name

  • The name of the procedure as it will appear throughout TRACTIAN. This field is required for every new procedure. For example: "Motor Bearing Inspection", "Pump Preventive Maintenance", "Compressor Valve Replacement".

Procedure Number

  • A sequential number automatically assigned by the system to each procedure. This column appears only in exports and cannot be set during import. It is useful for referencing procedures by number in reports.

Work Order Categories

  • The work order categories associated with this procedure. If you need to associate more than one category, separate them with semicolons. The categories must already exist in the system. For example: "Preventive Maintenance;Inspection" or "Corrective Maintenance".

Module

  • The module this procedure belongs to. Select one of the available options: OEE or General. If left blank, no module will be assigned.

Procedure Description

  • A detailed description of the procedure. Use this field to document the steps, tools required, safety considerations, or any other relevant instructions. For example: "Inspect motor bearings for wear, check vibration levels, and replace if necessary."

Related Asset IDs

  • The IDs of assets associated with this procedure. If you need to associate more than one asset, separate the IDs with semicolons. The IDs must be obtained from the platform URL and must correspond to assets that exist in the system. For example: "6880c7816171895a95173a67;6880c7816171895a95173a68".

Related Location IDs

  • The IDs of locations associated with this procedure. If you need to associate more than one location, separate the IDs with semicolons. The IDs must be obtained from the platform URL and must correspond to locations that exist in the system. For example: "685c335c746f760403e717ac;685c335c746f760403e717ad".

Tips for a Successful Import

  • The Procedure Name column is required for every new procedure.

  • When updating an existing procedure, fill in the ID column so the system knows which procedure to modify.

  • The Procedure Number column is export only. Do not include it in your import file; the system assigns it automatically.

  • All Work Order Categories referenced in the spreadsheet must already be registered in TRACTIAN before importing.

  • All Related Asset IDs and Related Location IDs must correspond to entities that already exist in the system. If any of them is not found, the import will fail for that row.

  • When entering multiple values in Work Order Categories, Related Asset IDs, or Related Location IDs, separate them with semicolons.

  • For the Module column, use exactly "OEE" or "General". Any other value will cause a validation error.

  • If you leave an optional column blank, no value will be set for that field on the new procedure (or the existing value will remain unchanged during updates).

Frequently Asked Questions

What happens if I leave the ID column blank?

A new procedure will be created. The ID column is only needed when you want to update an existing procedure. When exporting, the ID is filled automatically for every procedure.

Why does the Procedure Number column not appear in my import file?

The Procedure Number is assigned automatically by the system and is available only in exports. You cannot set or change it through an import.

What if a Work Order Category I enter does not exist in TRACTIAN?

The import will fail for that row. You must register the work order category in TRACTIAN before importing. Check the available categories in your account settings.

How do I get asset and location IDs to fill in the Related Asset IDs and Related Location IDs columns?

You need to obtain these IDs from the platform URL. Follow these steps:

  1. Open TRACTIAN and navigate to the desired asset or location page.

  2. Look at the URL in your browser's address bar.

  3. Copy the ID that appears in the URL path.

Can I associate a procedure with multiple assets and locations?

Yes. In the Related Asset IDs and Related Location IDs columns, enter multiple IDs separated by semicolons. Each ID must correspond to an existing entity in the system.

What is the difference between the OEE and General modules?

OEE (Overall Equipment Effectiveness) is used for procedures related to production efficiency tracking. General is used for all other maintenance procedures. Choose the module that best fits the purpose of your procedure.

What happens if my import fails partway through?

If any procedure fails to be created, the system will automatically roll back all changes from that import. This means either all procedures are created successfully, or none are — no partial imports will remain in the system.
