Asset Components — Spreadsheet Guide

Updated over 3 weeks ago

What Is This Spreadsheet For?

Use this spreadsheet to manage the list of components associated with your assets in TRACTIAN. Components are the individual parts that make up a piece of equipment — for example, a motor, a bearing, or a belt. You can use this spreadsheet to add new components in bulk or update the names of existing ones.

Can I Import, Export, or Both?

  • Import (upload data into TRACTIAN): Yes

  • Export (download data from TRACTIAN): Yes

Columns in Detail

ID (Fill only for update)

  • Leave this column blank when you are adding a new component.

  • Fill this column only when you want to rename an existing component. The ID tells TRACTIAN which component to update.

  • If you enter an ID that does not exist in TRACTIAN, the row will be rejected.

Name

  • The name you want to give to the component (for example, "Motor Drive Belt" or "Main Bearing").

  • Each component name must be unique across your company — you cannot have two components with the same name.

  • The system also checks for names that are too similar (based on simplified text matching), so "Main Bearing" and "main bearing" are treated as the same name.

  • This column is required for every row.

Custom Fields

This spreadsheet does not include custom fields.

Tips for a Successful Import

  • Leave the ID (Fill only for update) column blank for every new component — only fill it when renaming an existing one.

  • Make sure every row has a value in the Name column — rows with a blank name will be skipped.

  • Each component name must be unique. If you include the same name twice in the same file, only the first row will be accepted and the duplicate will be rejected.

  • If you are updating an existing component, double-check that the ID matches exactly what is stored in TRACTIAN.

  • Names that differ only in capitalization or spacing are treated as the same name — make sure your new names are genuinely different.

Frequently Asked Questions

Can I update an existing component or only create new ones? You can do both. Leave the ID column blank to create a new component, or fill it with the component's existing ID to update its name.

What happens if I enter a name that already exists? The row will be rejected with an error. Each component name must be unique within your company.

What happens if I enter an ID that does not exist in TRACTIAN? The row will be rejected. Make sure the ID you enter matches a component that is already in the system.

Can I delete components using this spreadsheet? No. This spreadsheet only supports creating new components and renaming existing ones. Deletions must be done directly in TRACTIAN.

What happens if I use the same name in two rows of the same file? Only the first row will be accepted. The duplicate row will be rejected with a conflict error.
