Procedures for Requests

You can configure mandatory procedures to be completed when a maintenance request is created. These procedures work as a custom checklist, ensuring that operators and requesters correctly fill in the information specific to your process.


How to add procedures to requests

  1. Go to the platform Settings;

  2. Click the Procedures tab;

  3. Locate the Requests section;

  4. Enable the "Procedures in requests" option;

  5. Fill in the following fields:

    1. Procedure Name: choose a clear and objective title;

    2. Description: provide relevant instructions or guidance for the person filling out the procedure.

  6. Add elements to the procedure:

    1. Click + Task to include steps that need to be completed or answered;

    2. Click + Section to group tasks by category or topic.

  7. (Optional) Enable the "Block editing of fields in Work Orders from Requests" option if you want to prevent any changes after the request is approved and converted into a WO;

  8. Click "Save."


How to edit the procedure

Once the request is approved, if you need to change any field:

  1. Go to the Work Order, in the respective tab;

  2. Click "Edit";

  3. Scroll to the Procedures tab and select the procedure you want to edit;

  4. Make the changes and save.


What the requester sees

When creating a new maintenance request:

  • Default fields will remain visible;

  • The linked procedure will also be shown as part of the form and must be completed.


What appears in the Work Order

Once the request is approved and becomes a WO:

  • The completed procedure remains visible within the WO;

  • If editing was locked, it will appear as read-only with no ability to modify.
