Create a Request

Maintenance requests are essential to report failures, anomalies, or issues identified by operators, production leaders, or any employee.


Accessing the “Requests” tab

  1. Log in to Tractian’s CMMS with your credentials.

  2. In the main menu, click on “Requests.”

Click the “+ Add” button to open the creation form.


Filling out the request information

Complete the fields with as much clarity and detail as possible:

  • Request title
    Briefly describe what needs to be done.
    Example: Fix oil leak in compressor.

  • Attachments (image or video)
    Add photos or videos that show the issue. This helps the maintenance team better understand the situation and speed up diagnosis.

  • Problem description
    Explain in detail what is happening.
    Example: Oil leak in the compressor, increased noise, and pressure drop.

  • Affected Location or Asset
    Indicate where the problem is happening:

    • On desktop: select the asset or location from the asset tree.

    • On mobile: use the camera to scan the equipment’s QR Code. The system will automatically identify the asset.

  • Priority
    Define the urgency level of the request (low, medium, high, etc.).

  • Request category
    Choose the most appropriate category, such as electrical, mechanical, hydraulic, among others.

  • Identified failures (optional)
    If failures have already been detected in the asset, you can link them to the request.

  • Tags
    Add keywords to make searching and categorization easier.
    Examples: motor, unplanned downtime, vibration.

  • Linking (optional)
    If the issue has already been registered:

    • Link it to an existing request if it’s the same failure.

    • Link it to an open work order related to the same asset or location.


Save the request

After completing all information, click “Save.” The request will be automatically sent to the maintenance team for review.


After submitting the request

The responsible team will review it:

  • If approved: a responsible person and deadline will be defined.

  • If rejected: you will be notified with the reason (e.g., missing information).


Viewing modes

Tractian’s CMMS allows you to track all requests in three different views:

Panel View

Splits requests into Pending and Reviewed columns, with detailed visualization of each one.

Table View

Displays requests in a table format, with columns such as title, priority, status, and assignee.

Kanban View

Organizes requests as cards in columns, making it easier to track by process stage.
