Create Procedures

To ensure maintenance sustainability and the highest level of detail in work orders, an unlimited library of procedures, work instructions, and checklists is available in TracOS™.

To access this area, go to "Procedures" in the top menu of the platform. If you want to create new procedures, select "Add Procedure".


Add a name and description for your procedure and, if you want to, you can specify a location or asset too.


However, note that the Location/Asset field in procedure creation is used for grouping in the procedure library and not exclusively for a specific location/asset.


Next, assemble the procedure according to your needs. There are unlimited and intuitive fields that form various instructions for executing work orders.

You can add a new field, a new section, or a procedure template by selecting the options below:

  • Field: This is the area of the procedure that will be used for an action in the work order, such as a signature field, a selection list, or a metric.

  • Heading: This is a title given to separate sets of fields within the maintenance procedure. For example: Metric Collection.

  • Template: This allows you to add a pre-created instruction template to the procedure.

It's important to note that procedures that are included in existing plans are not automatically updated when modified. You need to manually adjust the procedure within the plan.

The available field types are:

Metric: Provide asset metrics such as operating hours, temperature, and oil level, among others.


Checkbox: Use it to check an item for verification.


Text: Fill in detailed information within the procedure.


Number: Use it to collect numerical information from the equipment, such as pressure.


Amount: Indicate a monetary value involved in the procedure –describe the external cost for executing the service, for instance.


Selector: Select one or more options from a list during the procedure.


Multiple Choice: Select one option from multiple available choices during the procedure.


Selection List: Check multiple verification items.


Inspection Check: Evaluate a check as "Pass," "Flag," or "Fail." This field allows opening a new work order in case of non-compliance and also generates an indicator in reports for inspection control.


Yes/No: Use it for inquiries where the user responds YES or NO.

Within this field, it's possible to automate the creation of a work order when the answer is YES or NO. For example: "Does the equipment need cleaning?" If the answer is "YES," a work order can be generated for the responsible person.


When requesting a work order, the previous work order is linked to it in the "Associated Work Orders and Requests" field.


Now you just need to finish filling out your work order.

Photo/File: Add a photo, short video, or file to the procedure.


Signature: Used to collect the signature of someone involved in the procedure.

Date: Used to indicate the date in question within the maintenance procedure. A time stamp can also be requested in this field.


All procedure fields can be set as mandatory, depending on the choice of the creator. The person responsible for closing the work order will not be able to complete it without correctly filling out a mandatory field.
