Register an Asset

Updated over a week ago

The Assets page allows you to register, configure, and organize your equipment in a structured way. The process is divided into tabs and includes guided data entry by equipment type, a technical datasheet by component, sensors linked to monitoring points, and technical inventory.

Accessing the Asset Registration

  1. Go to the Assets tab in the top menu;

  2. Click the “+ Add” button in the upper-right corner;

  3. Select Asset.

The asset tree allows you to expand, drag, filter, and reorganize assets and sub-assets as needed.

Asset Page Overview

After registration, the asset is displayed in a tabbed structure:

  • Status

  • General

  • Maintenance

  • Reliability

Filling in Asset Information

1. Initial Information

On the General tab, click Edit to start filling in the information:

  • Asset Name: enter a clear, standardized name.

  • Image (optional): add a photo to make visual identification easier.

  • Description (optional): include details such as function, location, or notes.

  • Manufacturer and Serial Number

  • Manuals: upload relevant documents such as PDFs and technical instructions.

2. Structure and Location

  • Parent Asset or Location: select where the asset will be positioned in the hierarchy.

  • Cost Center: define where operational and maintenance costs will be allocated.

  • Assignees: users who will receive alerts and related notifications.

  • Criticality: select the asset’s operational importance level.

Monitoring Settings

3. Monitoring Point and Sensor

Each sensor is linked to a Monitoring Point, which stores essential information to contextualize data analysis:

  • Installation position

  • Monitored component (e.g., motor, bearing, pulley)

  • Measurement axis (X, Y, or Z): indicate which sensor axis is aligned with the equipment’s axial axis.

Sensor Type:

  • Smart Trac: monitors vibration, temperature, and runtime.

  • Energy Trac: monitors electrical parameters and energy consumption.

Sensor Code:

  • Can be entered manually (printed on the sensor body) or scanned using the camera.

Mounting Type:

  • Choose how the sensor will be installed.

The sensor form adapts the displayed fields according to the sensor and equipment type, helping prevent input errors and ensuring data consistency.

Technical Data

4. Equipment Type

Select the equipment type (e.g., Electric Motor, Pump, Fan, Compressor). This choice defines which fields will be available in the technical datasheet.

5. Technical Datasheet by Component

The technical datasheet is displayed on the General tab and includes specific fields based on the components associated with the selected equipment type.

  • Bearings, belts, pulleys, impellers, and gears have dedicated fields.

  • A progress bar indicates the level of technical completion based on the most relevant data.

Common fields include:

  • Speed (RPM or Hz)

  • Power (kW or HP)

  • Maximum operating temperature

  • Support type (rigid or flexible)

  • Operating window (days and operating hours)

  • Global limits (optional)

  • Desired alert types (failure, imbalance, etc.)

  • Energy rate (used by Energy Trac)

For more details, see the article: How to fill out the Technical Sheet.

6. Maintenance and Reliability

The Maintenance and Reliability tabs centralize all information and actions related to the asset. This tab-based organization makes it easier to track technical data and equipment history.

Maintenance Tab

Centralizes operational data and allows management of:

  • Work Orders

  • Requests

  • Maintenance Plans

  • Technical procedures

Reliability Tab

Groups records related to asset performance:

  • Automatically generated sensor insights

  • Manual inspections

  • Logged events (failures, deviations, incidents)

Completing the Registration

  1. Review all entered information;

  2. Click Save at the bottom of the screen;

  3. The asset will immediately appear in the side tree with all information available for editing and review.

Registering a Location

  1. Go to the Assets tab;

  2. Click + > Location.

Fill in the following fields:

  • Location name

  • Image and description (optional)

  • Assignees

  • Cost center and recipients

  • Address (optional)

  • QR code (manual or automatic)

  • Tags and attachments (e.g., layout drawing)

Click Save to finish.

Registering Sub-Assets

  1. Click + > Asset;

  2. In the Parent Asset or Location field, select the main asset;

  3. Complete the registration.
