On the Tractian platform, you can choose who will be notified when an alert is generated for an asset. This ensures that the right person or team receives the information and can act quickly.

Responsible users can be assigned in two ways:

  1. When registering a new asset

  2. By editing the asset’s Specifications after it has already been registered

Attention: If you assign a user to an asset, other users will not receive notifications for that asset unless they are also assigned. However, if you assign a team to an asset, all members of that team will receive notifications.

Additionally, the platform follows a notification hierarchy. This means that if there is no direct responsible user for an asset, the notification will be escalated to other levels of responsibility until someone receives the alert. To understand how this works, follow this article.


How to Assign Responsible Users When Registering an Asset

If you are registering a new asset, you can immediately define who will receive its alerts.

  1. Go to the Assets page and click "Add" (see how to register an asset).

  2. In the "Assignees" field, a list of all registered users and teams will appear.

  3. Select the users or teams responsible for this asset. They will receive the alerts.

  4. Complete the asset registration.


How to Assign or Change Responsible Users for an Existing Asset

If an asset was registered without responsible users or if you need to change who receives alerts, you can update its Specifications in the Status tab.

  1. Go to the Status tab and find the asset you want to update.

  2. Click "Specifications" on the left side.

  3. Click "Edit".

  4. Scroll down to the "Assignees" field and select the users or teams responsible for this asset. They will receive the alerts.

  5. Save the changes.


Understanding Notifications and the Responsibility Hierarchy

The Tractian platform has an intelligent notification system that follows a hierarchy. When an alert is generated for an asset, the system determines who should receive it in the following order:

  1. First, the notification is sent to the direct responsible user of the asset. If a responsible user was assigned during asset registration, they will receive the alert.

  2. If the asset has no direct responsible user, the notification is sent to the responsible user of the location where the asset is registered.

  3. If the location also has no responsible user, the system moves up the asset tree hierarchy to find a responsible user at higher levels.

  4. If no responsible user is found throughout the hierarchy, the notification is sent to all users in the company.

Practical Example

Imagine a company with the following structure:

📍 Factory A
↳ 🔧 Maintenance Department
↳ ⚙️ Machine 01

  • If Machine 01 has a responsible user assigned, they will receive the alerts.

  • If Machine 01 has no responsible user, the alert will be sent to the responsible user of the Maintenance Department.

  • If the Maintenance Department also has no responsible user, the alert will be sent to the responsible user of Factory A.

  • If no responsible users have been assigned, all users in the company will receive the alert.
