Register an Asset

Accessing the Asset Registration

  1. Go to the Assets tab in the top menu.

  2. Click the blue "+ Add" button in the top right corner and select Asset.


Filling in Asset Data

1. Initial Information

  • Asset Name: Enter the name that will appear in the asset tree. Choose a clear and standardized name to facilitate future searches.

  • Image: (optional) Click Add Asset Image to attach a real photo of the equipment. This helps with visual identification in the field.

  • Description: (optional) Add details such as the asset's function, exact location, or relevant notes.

2. Structure and Location

  • Asset or Location: Select the correct hierarchy. Choose an existing location or asset as the "parent" of the new asset.

  • Cost Center: Define where maintenance/energy expenses will be allocated.

  • Assignees: Choose the users responsible for this asset. They will receive alert notifications. This field can be left blank if all users should be notified.

  • Criticality: Select the operational importance level of the asset.


Monitoring Settings

3. Sensor

  • Sensor Type: Choose between:

    • Smart Trac: Used for vibration, temperature, and hour meter analysis.

    • Energy Trac: Used for electrical monitoring and energy consumption.

  • Sensor Code: Enter the unique code of the sensor:

    • Smart Trac: Located below the QR Code.

    • Energy Trac: Located next to the QR Code.

    • You can also use your phone or tablet camera to scan the code automatically.

4. Installation

  • Mounting Type: Select how the sensor is installed on the asset.

  • Axes: Correctly define the alignment of the X, Y, Z axes according to the sensor's orientation on the equipment. This is essential for vibration analysis.


Technical Data

5. Equipment Type

Select the type corresponding to your asset (Electric Motor, Pump, Compressor, etc.). This classification defines the available options in the technical sheet.


Technical Sheet

It is crucial to fill in the Technical Sheet with attention and precision. This data directly feeds Tractian's algorithms for generating automatic insights.

Click on Edit Technical Sheet and provide:

  • Rotation: Value in RPM or Hz.

  • Power: In kW or HP.

  • Maximum Temperature: Maximum operational temperature.

  • Support Type: Select between rigid (no movement) or flexible (allows small displacements).

  • Bearings: Provide the model or code.

  • Belt/Pulley: (if applicable) Include drive data.

  • Blades/Fans: For fans or pumps, provide the number.

  • Axes: Relate the physical alignment of the sensor on the equipment.

  • Operation Window: Define the times and days the asset normally operates.

  • Global Limits (optional): Configure manual vibration values.

  • Insight Settings: Choose the types of alerts to be received (failure, imbalance, overheating, etc.).

  • kWh Cost: Provide the energy tariff for consumption calculations (Energy Trac).

6. Inventory

Use the Add Item option to relate components, spare parts, or tools linked to the asset.


Identification and Documentation

Asset Identification

  • Operation Window: Associate an operating window with the asset. To learn more about configuring operation windows, read this article.

  • Serial Number: Uniquely identify the asset (e.g., manufacturer code).

  • Year of Manufacture: Enter the equipment's production year.

  • QR Code: Enter a code manually or click to generate an automatic code.

  • Tags: Associate keywords with the asset to facilitate filters and searches.


Attachments

Click on Attach or drag files and photos to upload supporting documents:

  • Mechanical diagrams

  • Electrical schematics

  • Operation or maintenance manuals

Finalizing the Registration

Review all entered information and click "Save" in the bottom right corner. The asset will immediately appear in the side tree.


Registering a Location

Locations are higher structures in the asset hierarchy and serve as containers for organizing other assets or sub-assets. Examples: "Factory," "Pump Room," "Production Line 3."

To register a location:

  1. Access the Assets tab.

  2. Click on "+ Add" and select Location.

  3. Fill in:

    • Location Name: e.g., "Filling Line 02"

    • (Optional) Image and description of the location

    • Assignees: Who will receive alerts from all child assets of this location

    • Cost Center and Receivers

    • Address (if applicable)

    • QR Code (manual or automatic)

    • Tags for filters and organization

    • Attachments such as plant layout or maps

Click "Save." The location will appear in the tree and can be used as a container for assets and sub-assets.


Registering Sub Assets

Directly from the Tree

  1. Select a parent asset.

  2. Scroll to the Sub Assets section and click on "+ Add."

  3. Fill in the asset name and then register the asset as previously guided.

New Registration

  1. Click on "+ Add."

  2. In the fill-in form, in the Asset or Location section, select the existing parent asset.

  3. Complete the registration normally.

Sub-assets will be automatically listed in the tree hierarchy.
